What conference option is best for your group?
Let's learn about it!
Sarah has been put in charge of planning and booking a conference trip and is now staring at 32 browser tabs of location research wondering if it would be less stressful if she hosted the entire conference out of her spare bedroom and back garden. Sound familiar? Do not worry, you are not alone. Like Sarah, countless event leaders find themselves overwhelmed with venue research. Every place is a little different, each with their own unique features and bonus rewards. Each year, hundreds of event leaders pop into our inbox asking questions, booking a site tour, and trying to decide if our venue is the best fit for their event. Let’s start with the first choice you will need to make – is a combination or comprehensive venue best for your group?
Combination (bringing together a hotel & event venue)
A combination booking is what you would see at an event with a higher volume of attendees, who usually do not know the majority of other attendees present. Good examples of this include anime or comic conventions, sporting events, concerts, etc. This sort of event would typically feature an event hall or site hosting the event itself and sometimes recommendations for nearby hotels that you must book yourself (potentially with a discount code for utilising a specific franchise). As attendees are not limited to a singular venue for accommodation but can make use of all nearby hotels, bed and breakfasts, private lodging, etc. this allows for a higher number of attendees but unfortunately these larger event halls can be inaccessible for smaller groups due to the cost of booking and the size of the venue
Comprehensive (an ‘all-under-one-roof’ venue)
If it has got all your meals, accommodation, and event spaces under one roof (or in a series of connected buildings) – you have found yourself a comprehensive venue, after all, the literal definition of comprehensive is ‘Including or dealing with all or nearly all elements or aspects of something’! Since attendees don’t need to ever leave (for food or rest), they can spend every single second of their visit together if they wish, from dawn to dusk and beyond. These venues also usually allow for your guests to pay for one booking and gain access to everything they will need to enjoy your event. Often the limit you will find with these venues is space. Most businesses are limited to the size of their property, and when trying to fit in a dining option, accommodation option, and meeting space option(s) you will quickly push to the limits of the property itself.
What would King's Park Conference Centre be considered?
King’s Park Conference Centre would be considered a comprehensive venue! Within our centre you will find all the spaces you will need to host a successful event. As we can offer accommodation, meals, and have a variety of meeting spaces available, our guests typically do not need to leave the site during their visit (in fact, many put away their car keys and don’t take them back out again till their departure day!).
This venue layout allows them to be fully immersed from start to finish and form a strong sense of community with other attendees. You can start your morning with a nice, quiet social gathering with a cup of tea in the lounge, enjoy each meal with a new table of friends, and spend hours delving deeper into your interests as a group or running workshops in one of our spacious conference rooms. As you can probably imagine, this full immersion means the amount you can accomplish in only a short two-night stay is quite significant – you can spend practically every waking moment with your attendees rather than losing half the day due to travel times and meals!
At our centre, each area is connected, making travel between tasks more comfortable and convenient for your attendees. In fact, to get from one side of the centre to the other it takes less than 2 minutes travelling along our various hallways, so though we aren’t “all under one roof” you certainly will feel like you’ve not left the building!
